Terms and Conditions
This sets out the terms and conditions between SafeStart and any SafeStart Forum attendees.
- All participants are required to officially register to attend the SafeStart Forum.
- When registering to attend the SafeStart Forum, you accept the following registration terms:
- Sharing of registrations is not permitted. One registration may not be utilized by several individuals.
- Registrants agree that to cancel their registration, they are required to log into their event account and follow the required steps to cancel their registration or send their request for cancellation by email to the event organizer. Registration cancellations will not be accepted unless they are received in this manner. All cancellations received by the organizer will be confirmed. If the registrant does not receive confirmation of their cancellation, they need to follow up with the organizer. If the notification is not received by the conference office, the registration is deemed to have remained active.
- Cancellations made more than thirty (30) days prior to the conference date will be refunded less $100.00 per registrant to cover administration costs. No registration refunds will be made after this date, but you may nominate a replacement delegate at no charge.
- Refunds of accommodation deposits are at the discretion of the accommodation venue.
- No refunds are available in the event a delegate registers but fails to attend the conference.
- In the event the SafeStart Forum cannot proceed as planned due to COVID-19, the event may be placed on hold until it is safe to proceed. If the dates are rescheduled, we will apply the registration fee to the next event. If you’re unable to attend the rescheduled event, you may send a delegate or request a refund. Depending on the severity of the situation, we may need to cancel the event altogether. Cancellation of the event will result in registration refunds. Flight and accommodation refunds are at the discretion of those specific vendors.
Payment of fees
- All registration fees are payable in advance and entry to the conference may be denied in the event registration fees (or a portion thereof) are unpaid prior to commencement of the conference.
- Online registration—with credit card payment (Visa or MasterCard)—is the preferred method of registration.
- Confirmation of registration will be sent once payment or Purchase Order is received. Registrations must be confirmed prior to attending the event.
- You must submit a completed registration form, along with full payment, for your registration to be processed (your credit card information or company check payable to SafeStart). Registrations without full payment will not be processed.
- If your purchase order is processed with Net 30 terms (due in 30 days), your registration will be completed once full payment is received.
- If cancellations reduce your group size to a lower discount level, each registrant will be billed the difference between the discount applied and the next discount level fee.
Delegate details
- Receipt of your registration form will signal your acceptance of inclusion on the delegate list (name and basic contact details only).
- By registering for the SafeStart Forum you are hereby giving SafeStart permission to photograph and/or video record you for use in our publications, on our website and in any other promotional material associated with SafeStart events. If you do not consent to your photograph(s) and/or video recording being used, please contact the event organizer via email at forum@safestart.com.
Loss and injury
- All conference participants are advised to purchase their own insurance to cover all risks associated with and including (but not limited to) costs of travel, accommodation, conference fees, personal property, health and medical expenses, injury, death and all other risks.
- The conference, host organization and organizers will not be held liable for any claims under any circumstances.
Program changes
- SafeStart reserves the right to make changes to the program, including presenters and sessions where necessary.
- In the unlikely event that a presenter withdraws or cannot travel, SafeStart reserves the right to make the appropriate decision in the best interest of the conference—this may include changes to the program, canceling sessions and not offering refunds.
General
- All details contained in the brochure and on the conference website are subject to change without notice.
COVID protocol
- SafeStart strongly recommends participants be fully vaccinated and follow the recommendations of the CDC and any local or state guidelines including masking and social distancing.
Code of Conduct
The SafeStart Forum organizers will enforce the conference code of conduct throughout the event and reserve the right to remove any attendee or speaker who violates it. Admittance and participation in the conference is at the discretion of the organizers and all attendees and speakers are required to agree to the following code of conduct.
Harassment in any form is not tolerated from any participant (attendee, speaker or staff). This includes but is not limited to:
- Offensive comments related to race, ethnicity, religion, age, disability, gender, sexual orientation, physical appearance, and technology choices;
- Harassing photography or recording;
- Deliberate intimidation;
- Stalking and deliberate following;
- Screaming;
- Inappropriate physical contact;
- Unwelcome sexual attention; and
- Sustained disruption of talks or other events.
The organizers reserve the right to decide what’s deemed “inappropriate”, “unwelcome” or “deliberate”. Conference participants asked to stop any harassing behavior are expected to comply immediately or risk being expelled without a refund.
Sexual language and imagery are not appropriate and will not be tolerated in any public area, including talks, workshops, networking events, print publications, social media and other online mediums.
Speakers are also subject to this policy and agree that they will not use sexualized images, activities, clothing, or other materials of sexual nature in their presentations. They will not engage in any offensive or bullying behavior and they agree to create an environment that cannot be construed as sexualized or uncomfortable. Conference speakers asked to stop any inappropriate or harassing behavior are expected to comply immediately or risk being expelled without reimbursement.
SafeStart is dedicated to providing a harassment‐free experience and we expect cooperation from all participants throughout the conference and during conference‐related social events to help ensure a safe environment for everybody.
If you are being harassed or notice that someone else is being harassed, contact a member of the event staff or hotel staff immediately. They will help you contact security or law enforcement or provide escorts. Our staff are ready to—in any way necessary—assist those experiencing harassment and help them feel safe for the duration of the conference.
